Exporting Pulse incident reports to PDF and Excel

Build a Pulse incident report across one or more facilities, review it, and download it as a PDF or Excel file.

You can export Pulse incidents to a PDF or Excel file for your morning meeting, IDT, or a regional review. One report can cover a single facility or every facility you have access to. Before you download, you can see exactly which incidents are included and which follow-ups are still open.

Open the export

  1. Go to Pulse 2.0.

  2. Click Export in the top right corner.

The Export Pulse report window opens. Your options are on the left. The incidents that match them are listed on the right.

Choose what goes in the report

Start from your current Pulse view (optional)

Click Use current Pulse filters to bring over the facilities, dates, and filters you already have set on the Pulse screen. You can still change anything after that.

Facilities

Check the facilities you want in the report, or check Select all authorized to include every facility you have access to. Incidents are grouped by facility in the report.

Date range

Set the From and To dates. For a morning meeting, set both to today.

Categories

Narrow the report to Audit & Risk, IPA, or Quality Metrics. If you leave all three unchecked, every category is included.

Incident types

Check specific incident types, such as Fall or Bowel/GI, to limit the report to those. If you leave them all unchecked, every incident type is included.

Sort

Choose how incidents are ordered:

  • Urgency puts incidents with unfinished follow-ups first. This is the default.

  • Resident A-Z lists incidents alphabetically by resident.

  • Newest lists the most recent incidents first.

Status

Leave All statuses selected, or pick one status to filter by.

Resident search

Type a resident's name to build a report for that one resident.

Included fields

Resident, location, incident, date, status, discussion reason, and open follow-ups are always included. You can turn these on or off:

  • Summary

  • Key details

  • Matched criteria

  • Completed follow-ups

  • Owner, due, escalation, and notes

Review the included incidents

The right side of the window shows the total number of incidents, how many need discussion, and how many follow-ups are open. Incidents are grouped by facility. Each one shows the resident, room, incident type, date, status, and any follow-ups that are not done yet.

An incident needs discussion when it is still active or has unfinished follow-ups.

The list on screen is a preview. The export includes every incident that matches your options, not only the ones visible in the list.

Download the report

Click Download Excel for a spreadsheet, or Preview PDF to see the PDF first.

The PDF opens with a summary at the top: the number of facilities, the date range, who generated it and when, the filters used, and totals for incidents, items needing discussion, and open follow-ups. Use the download or print icons in the preview to save or print it. Click Back to items to return to your options.

Each incident in the PDF shows why it needs discussion, the summary, key details, and a checklist of follow-ups. Completed follow-ups are marked [x] and open ones are marked [ ].

Questions we get

Why don't I see all of our facilities in the list?

The list only shows facilities you have access to. If one is missing, contact your account administrator.

The report has more incidents than I saw on screen

That is expected. The export includes every incident that matches your options, not only the ones shown in the preview list.

How is the Excel file organized for more than one facility?

Each facility gets its own sheet in the workbook.

Does exporting change anything in Pulse?

No. Exporting only creates a file. Incidents and follow-ups stay exactly as they are.

The report has resident information in it. How should I handle it?

Exported reports contain protected health information. Store, print, and share them according to your facility's privacy policies.
